Privacy Policy

Last updated: 18 September 2026

1. Who We Are

Eternal Self is a New Zealand business.

Eternal Self provides digital wellbeing experiences and related services, including The Harmonics Room.

This Privacy Policy explains how we collect, use, store and protect personal information when you visit our website, contact us, purchase or access our services, participate in a pilot programme, complete a survey, or otherwise interact with Eternal Self.

We are committed to handling personal information responsibly and in accordance with the New Zealand Privacy Act 2020 and other applicable privacy requirements.

2. Information We May Collect

Depending on how you interact with us, we may collect information such as:

  • your name and email address;

  • the name of your retreat, wellness centre, spa or organisation;

  • information you provide through our Contact Us form;

  • account and access information;

  • information relating to purchases, subscriptions or venue licences;

  • correspondence you send to us;

  • responses and feedback you voluntarily provide through surveys;

  • information about your interaction with our website and digital services, such as device, browser or website usage information where collected by our technology providers; and

  • other information you choose to provide to us.

We aim to collect only information that is reasonably necessary for providing and improving our services. This reflects the NZ Privacy Commissioner's data-minimisation principle.

3. How We Use Your Information

We may use your personal information to:

  • respond to enquiries and communicate with you;

  • provide access to Eternal Self and The Harmonics Room services;

  • administer purchases, subscriptions, pilots and venue licences;

  • manage customer accounts and secure access;

  • provide instructions, updates and support relating to our services;

  • process and understand survey responses and feedback;

  • improve our website, transmissions, products and services;

  • maintain the security and operation of our systems;

  • send relevant service communications;

  • send promotional or marketing communications where permitted and where appropriate consent has been obtained; and

  • meet our legal, accounting and regulatory obligations.

We will not use personal information for purposes unrelated to those for which it was collected unless permitted by law or authorised by you.

4. The Harmonics Room and Venue Participants

Where a retreat, wellness centre, spa or other venue provides access to The Harmonics Room transmissions to its guests, we do not require the venue to provide us with personal information about individual guests unless this is necessary for a specific service or the guest chooses to provide information directly to us.

Where possible, we encourage participating venues to avoid sending us unnecessary personal information about their guests.

This is important for the way we've designed your venue model: venue access rather than enrolling every guest individually. It also aligns with the NZ principle that businesses should only collect personal information necessary for a lawful business purpose.

5. Surveys and Feedback

From time to time, we may invite customers, venue operators or participants to provide feedback about their experience.

Participation in surveys is voluntary unless otherwise clearly stated.

Survey responses may be used to evaluate and improve our services and understand how participants engage with our experiences.

We encourage participants not to provide sensitive personal, medical or health information unless specifically requested and appropriate for the stated purpose.

Where we wish to use an identifiable testimonial, name, photograph or other personal information for promotional purposes, we will seek appropriate permission.

6. Payments

Payments for Eternal Self products and services may be processed by third-party payment providers.

We may receive information confirming your transaction, such as your name, email address, transaction status, product purchased and payment amount.

Payment providers may collect and process payment card or financial information according to their own privacy policies and security practices.

Eternal Self does not intend to directly store complete payment card details where payments are processed through a third-party payment provider.

7. Email Communications

If you provide your email address, we may use it to provide information relating to your enquiry, purchase, subscription, pilot, venue licence or use of our services.

Where you have consented, or where otherwise permitted by law, we may also send you information about Eternal Self products, services and future offerings.

Commercial electronic messages will include an appropriate way to unsubscribe where required.

You can unsubscribe from marketing communications at any time by using the unsubscribe link provided in the message or by contacting us at hello@eternalself.co.nz.

New Zealand's anti-spam rules require commercial electronic messages to have appropriate consent, accurate sender information and a functional unsubscribe facility.

8. Cookies and Website Technology

Our website and the third-party platforms we use may use cookies or similar technologies to operate the website, remember preferences, provide secure access, understand website usage and improve the user experience.

Some cookies may be necessary for the operation of the website or secure member areas.

Third-party services integrated with our website may also place or access cookies in accordance with their own privacy practices.

You may be able to manage cookies through your browser settings. Disabling certain cookies may affect the operation of some website features.

9. Service Providers and Overseas Processing

We use third-party service providers to help operate our business. These may include website and membership platforms, email and communication services, payment processors, hosting providers and other technology services.

Some providers may store or process information outside New Zealand.

Where personal information is disclosed outside New Zealand, we will take reasonable steps to comply with applicable requirements of the Privacy Act 2020.

New Zealand's Privacy Principle 12 places specific requirements on disclosures to overseas organisations, including consideration of whether appropriate privacy safeguards apply.

10. How We Protect Your Information

We take reasonable measures appropriate to the nature of the information we hold to protect personal information against loss, unauthorised access, misuse, alteration or disclosure.

We also use third-party platforms and service providers to operate parts of our digital services and expect those providers to maintain appropriate security measures.

No internet transmission or electronic storage system can be guaranteed to be completely secure.

New Zealand Privacy Principle 5 requires organisations holding personal information to use reasonable security safeguards against loss, unauthorised access, disclosure and other misuse.

11. How Long We Keep Your Information

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, to provide our services, maintain appropriate business records, resolve disputes, or meet legal, tax, accounting and regulatory requirements.

When information is no longer reasonably required, we may delete it, securely dispose of it or anonymise it.

12. Accessing or Correcting Your Information

You may request access to personal information we hold about you and ask us to correct information you believe is inaccurate, incomplete or out of date, subject to applicable law.

To make an access or correction request, contact:

hello@eternalself.co.nz

We may need to verify your identity before providing or changing personal information.

Under New Zealand Privacy Principles 6 and 7, individuals generally have rights to request access to their personal information and request corrections.

13. Information Collected From Other Sources

In some circumstances, we may receive personal information about you from another person or organisation rather than directly from you.

Where applicable, we will take reasonable steps to notify you of the collection and relevant details as required by New Zealand privacy law, unless an exception applies.

This reflects Privacy Principle 3A, which came into force on 1 May 2026 and introduced notification requirements for certain indirect collections of personal information.

14. Links and Third-Party Services

Our website may contain links to websites, platforms or services operated by third parties.

We are not responsible for the privacy practices of independent third parties. We encourage you to review their privacy policies before providing personal information to them.

15. Children's Privacy

Our services are primarily intended for adults and organisations providing wellbeing experiences.

We do not knowingly seek to collect unnecessary personal information from children. Where participation by a minor is permitted, the participating venue or responsible adult should ensure that appropriate consent, supervision and safeguarding requirements are followed.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our services, technology, business practices or legal obligations.

The current version will be published on our website with the date it was last updated.
